A complimentary comment is not automatically a testimonial you can publish anywhere. Ask separately, show the exact words you want to use and let the customer choose which name, business details and channels they approve.

Ask separately from the feedback conversation
Do not hide testimonial permission inside a service form or treat a public review as blanket marketing consent. Send a separate request after deciding the exact quote and where you would like to use it.
Saying no should not affect the service, complaint handling or any other customer decision.

Record each part of the approval
- Exact quote and version approved.
- First name, full name, role and business name approved separately.
- Logo or image permission, where relevant.
- Specific channels and context approved.
- Date, evidence source and person who recorded it.
- Withdrawal route, current status and any review date.
Know when fresh permission is needed
Ask again when the proposed use is materially different from what the customer approved.
- Editing the quote beyond minor formatting.
- Adding a surname, job title, company name, logo or photograph.
- Moving from the website to advertising, printed sales material or another channel.
- Presenting the quote beside a new factual performance claim.
Handle withdrawal as a real operational task
Make the withdrawal route easy to find. Stop new publication, remove the testimonial from channels you control and record what was changed. Printed or third-party material may need a separate correction plan.
- Customer withdraws permission.
- The employee named in the quote leaves the company.
- The business changes name or ownership.
- The quote becomes misleading because the service has changed.

Example
Quote version 2 approved on 19 July 2026. Display name: “Sam, homeowner”. Website pricing page only. No surname, photograph, company name or paid advertising. Evidence: customer email stored with the record. Withdrawal route: support email. Review when the quote or page context changes.
Final publication check
- The displayed words exactly match the approved version.
- The name, role, company and visual assets remain within scope.
- Any factual result has separate supporting evidence.
- The withdrawal route still works and has an internal owner.
- The testimonial is not presented as independent star-rating markup controlled by the business.
